MARIPOSA EVENT DECOR + STUDIO
Rental Terms, Policies & Client Responsibilities
PAYMENT & EVENT COMMITMENT
All rental and decor fees are due 30 days prior to the event date, unless otherwise agreed in writing. Due to the nature of our business and the limited availability of our calendar dates, all bookings reserve the studio exclusively for your event. If a client cancels for any reason, all rental and décor fees remain due and non-refundable, with no exceptions.
Baby Shower Courtesy Policy: In the case of early delivery or physician-required bed rest for an expectant mother, Mariposa Event Decor + Studio may, at its discretion, extend the courtesy option to convert the reservation into a Welcome Baby or Sip-and-See event scheduled on an available Friday. If the client declines this courtesy option, all fees are forfeited.
ALCOHOL POLICY
Clients may bring their own alcohol. However, all alcohol service, monitoring, and guest consumption are solely the responsibility of the client. Per City of Pasadena requirements, when alcohol (other than mimosas) is served, a Pasadena Police Officer must be present for security. Officers are scheduled through the City of Pasadena and are paid directly by the client in cash upon arrival. Standard rate begins at $150 for 3 hours (subject to city rates and event date). If the event ends early, the full officer fee still applies, as the officer has reserved their time. Client acknowledges they have elected to serve alcohol (other than mimosas) and accepts full liability for all alcohol-related activities and consumption.
LIABILITY & DAMAGES
By renting the studio, client agrees to hold harmless Mariposa Event Decor + Studio from any claims, injuries, illnesses, accidents, or disputes occurring before, during, or after the rental period. Mariposa Event Decor + Studio is not liable for personal injury, illness, guest accidents, property damage, or loss or theft of personal items. The client is fully responsible for any damages to the facility or contents, including but not limited to chairs and tables, flooring and walls, counters and fixtures, refrigerator, sinks, microwave, speakers, and coolers. No pushpins, tacks, nails, or damaging adhesives may be used on walls. A credit card must be provided for incidentals. Client is responsible for 100% of repair or replacement costs for any damages.
CANCELLATION POLICY
All payments made toward rental or décor are non-refundable. If the client cancels for any reason, all contracted fees remain due, as the reserved date cannot be rebooked once secured. Please confirm that the studio’s capacity, offerings, and policies meet your needs before booking.
WEATHER POLICY
Events are expected to proceed rain or shine. In the event of severe or unsafe weather including thunderstorms, heavy rain, tornado watch or warning, flooding, or road closures, the client is responsible for the decision to proceed, delay, or cancel. If the event proceeds, the client assumes full liability for any related issues or injuries. Mariposa Event Decor + Studio is not responsible for weather conditions, utility interruptions, travel issues or road closures, or guest attendance impacts. Weather-related cancellations are non-refundable. As a courtesy, the studio may offer rescheduling to available postponed dates when possible.
DEPARTURE & STUDIO CLOSING PROCEDURES
At the end of your event, please turn off both AC units (panels near speaker and mini fridge) and turn off all lights in the main space and restrooms. Remove all food and beverages and do not place food in the sink, as the grease trap cannot handle solids. Leave cooler lids open. If grease trap cleaning is required due to food disposal, a $250 cleaning fee will apply. Place pink cones inside and ensure all décor and belongings are removed.
Lock-Up Instructions: The key is in the lockbox on the main door. Press hand on key pad to wake, enter the provided code followed by lock icon, retrieve the key. Two doors to be checked: the single door and both main double doors, then return the key to the lockbox. Lost key fee: $500 rekey charge.
